This Policy applies to information collected from Site visitors, business representatives, prospective customers, and other persons who communicate with CaseScale before entering into a separate written services agreement. A separate agreement, data-processing addendum, business associate agreement, or customer privacy notice may govern information processed while providing contracted services.

1.6 Information from Other Sources
We may receive information from business contacts, referral sources, publicly available sources, scheduling providers, analytics providers, communications providers, customer relationship management systems, and other service providers acting on our behalf.
2. Information You Should Not Submit Through the Public Site
Do not submit confidential case files, claimant or client names, attorney-client privileged material, attorney work product, medical records, protected health information, Social Security numbers, government identification numbers, financial account information, passwords, or other sensitive data through a public form or ordinary email unless CaseScale has expressly directed you to an approved secure channel under an executed agreement.
The public Site and public contact forms are not designated as channels for transmitting protected health information or confidential case materials.

4. Telephone, Text Message, and Email Communications
If you submit an inquiry and provide contact information, CaseScale may use the information to respond by telephone or email regarding that inquiry. CaseScale will send text messages only as permitted by the consent and disclosures presented at the point of collection or through another valid opt-in method.
Text messages may include responses to an inquiry, scheduling, requested service information, and related non-marketing business communications. Message frequency varies. Message and data rates may apply. Reply STOP to opt out and HELP for help. Consent to receive text messages is not a condition of purchase.
CaseScale will not use an inquiry-specific text consent as blanket authorization for unrelated marketing campaigns. Any materially different or promotional text program will require a separate, clear opt-in where required by law, carrier rules, or provider policy.
Commercial email, if any, will identify CaseScale accurately and include an unsubscribe method and physical postal address when required. Transactional or relationship communications may continue when legally permitted even after a person opts out of promotional email.
5. How We Disclose Information
We may disclose personal information in the following limited circumstances.
5.1 Service Providers and Contractors
We may disclose information to vendors and contractors that perform services on our behalf, such as website hosting, cloud storage, security, analytics, customer relationship management, scheduling, email delivery, telephone, text messaging, information technology, professional services, and customer support. These parties may use the information only to provide services to CaseScale or as otherwise permitted by contract and law.
5.2 Affiliated Entities Supporting CaseScale
We may disclose information to affiliated entities and shared-services personnel that support CaseScale's operations, administration, technology, communications, compliance, or customer service. They may use the information only for CaseScale-related purposes and not for their independent marketing or promotional purposes.
5.3 Business Transactions
Information may be disclosed in connection with a merger, acquisition, financing, restructuring, bankruptcy, sale of assets, transfer of operations, due diligence process, or similar corporate transaction, subject to appropriate confidentiality and legal protections.
5.4 Legal, Safety, and Compliance Purposes
We may disclose information when we believe in good faith that disclosure is required or permitted by law, subpoena, court order, governmental request, or legal process; is necessary to protect rights, safety, property, or security; is necessary to investigate fraud, abuse, or unlawful activity; or is appropriate to establish, exercise, or defend legal claims.
5.5 With Your Direction or Consent
We may disclose information when you direct us to do so, request an introduction, authorize disclosure, or consent to a specific use.
6. No Sale of Personal Information and No Marketing Use of Mobile Opt-In Data
CaseScale does not sell or rent personal information. CaseScale does not share personal information for third parties' or affiliates' independent marketing or promotional purposes.
No mobile information, telephone number, text messaging originator data, opt-in data, or text messaging consent will be sold, rented, or shared with third parties or affiliates for their marketing or promotional purposes. This restriction does not prohibit disclosure to service providers and subcontractors that process information solely to support CaseScale, including communications, customer service, hosting, security, and related operational functions.
CaseScale does not use personal information for cross-context behavioral advertising or targeted advertising based on activity across unaffiliated websites or services, unless this Policy is updated and any consent or opt-out required by law is provided.
7. Cookies and Browser Choices
You may configure a browser to block or delete cookies. Some Site features may not function properly if cookies are disabled. Browser settings vary, and you should review the controls offered by your browser and device.
The Site may use analytics tools to understand aggregate traffic and performance. CaseScale will evaluate legally recognized browser-based opt-out signals where applicable. Because standards and legal requirements continue to develop, the Site's response to a particular signal may depend on the jurisdiction and technology involved.
8. Data Retention
We retain personal information for as long as reasonably necessary to fulfill the purposes described in this Policy, respond to inquiries, maintain business and consent records, comply with legal and contractual obligations, resolve disputes, enforce agreements, and protect legitimate business interests.
Retention periods vary based on the type of information, the relationship, the sensitivity of the information, legal requirements, and operational needs. Consent and opt-out records may be retained after other information is deleted when necessary to demonstrate compliance and prevent unwanted communications.
9. Data Security
CaseScale uses reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, acquisition, loss, misuse, alteration, or disclosure. Safeguards may include access controls, authentication, encryption where appropriate, vendor management, logging, monitoring, security policies, and personnel training.
No website, transmission method, or storage system is completely secure. CaseScale cannot guarantee absolute security. You are responsible for using appropriate caution and for avoiding the submission of sensitive information through unapproved channels.
10. International and Cross-Border Processing
CaseScale and its service providers, contractors, affiliates, and personnel may process information in the United States and in other countries where they operate. Those jurisdictions may have data-protection laws that differ from the laws where you reside. CaseScale will use contractual, organizational, and technical measures appropriate to the information and applicable law.
11. Your Choices and Rights
You may ask CaseScale to update contact information or communication preferences. You may opt out of promotional email by using the unsubscribe link in the message. You may opt out of text messages by replying STOP or by using another reasonable method communicated to CaseScale. You may request not to receive further telephone calls by telling the caller or contacting CaseScale.
Depending on where you reside and subject to applicable law and exceptions, you may have rights to request access to personal information, correction, deletion, portability, restriction, or confirmation of processing; to opt out of sale, sharing, targeted advertising, or certain profiling; to withdraw consent; and to appeal a denial of a privacy request.
To submit a privacy request, contact contact@casescale.com or write to 1309 Coffeen Avenue, Suite 1200, Sheridan, WY 82801. CaseScale may need to verify your identity and authority before completing a request. Authorized agents may submit requests where permitted by law, subject to verification. CaseScale will not discriminate against a person for exercising an applicable privacy right.
Because CaseScale does not sell personal information or share it for cross-context behavioral advertising, there is no sale or targeted-advertising activity to opt out of under this Policy.
12. Children and Minors
The Site is intended for business users and is not directed to children. CaseScale does not knowingly collect personal information from children under thirteen through the Site. Do not use the Site or submit information if you are under eighteen.
13. Third-Party Websites and Services
The Site may link to third-party websites or use third-party tools. This Policy does not govern third parties. Review their privacy notices before providing information. CaseScale is not responsible for third-party privacy, security, content, or data practices.
14. Business Customer Data
When CaseScale processes information on behalf of a business customer under a signed agreement, the business customer generally determines the purposes and means of processing, and CaseScale acts as a service provider, processor, contractor, or business associate as specified in the agreement and applicable law.
Requests concerning information processed for a business customer should ordinarily be directed to that customer. CaseScale may refer the request to the customer or assist the customer as required by contract or law.
15. Changes to This Privacy Policy
CaseScale may update this Policy to reflect changes in the Site, practices, technology, services, or law. The revised Policy will be posted with a new effective date. Material changes may be communicated through the Site or another appropriate method when required.
